Personal information we collect

Information you give us

When you use our quote, contact, event or checklist forms, we may collect:

  • name
  • email address
  • phone number
  • message or event details
  • event type (for example wedding, party, corporate or festival)
  • event date or year
  • number of guests
  • event postcode or location

If you email, call or write to us, we will also hold the information you choose to send.

Information collected automatically

When you browse the site we, and some of our providers, may collect:

  • IP address and approximate location
  • browser type, device and operating system
  • pages visited, referring website and time spent on the site
  • how you arrived at the site (including advertising or social links)
  • cookie identifiers and similar tracking IDs

If you play a gallery video, Instagram, Facebook or YouTube content may also collect information as described in those companies’ own privacy notices.

How we use your information

We only use personal information where we have a lawful reason to do so.

  • To deal with enquiries and provide a quote. This is so we can take steps at your request before a hire contract (UK GDPR Article 6(1)(b)).
  • To send the planning checklist you asked for and follow up if you want help planning your event. This is to provide that download and for our legitimate interest in running the business (Articles 6(1)(b) and 6(1)(f)).
  • To perform a hire if you book with us, including arranging the event, invoicing and aftercare (Article 6(1)(b)).
  • To keep records we must keep for tax, accounting and legal purposes (Article 6(1)(c)).
  • To keep the website secure, prevent abuse and diagnose faults. This is our legitimate interest in protecting the site and our customers (Article 6(1)(f)).
  • To understand how the website is used (analytics) and to measure or show advertising, including on Meta (Facebook and Instagram). We do this only where you have given cookie consent, or as otherwise allowed by PECR (Article 6(1)(a)).

We do not use your information to make solely automated decisions that have a legal or similarly significant effect on you. Quote forms may be passed to our quoting tool so we can prepare an indicative price. A member of the team can review this if you ask.

This site uses cookies and similar tools (including pixels, tags and local storage). Under PECR, non-essential cookies need your consent.

You can change or withdraw cookie consent at any time through the cookie banner or preferences tool on this site (where it is shown), and through your browser settings. Blocking some cookies may affect how the site works.

Strictly necessary

These are needed for the site to work and for security. They do not require consent.

  • WordPress — session and login cookies for the website, mainly if a staff member is signed in.
  • Wordfence — security cookies (for example to tell legitimate traffic from attacks).
  • Cookie consent tool (WPConsent) — remembers the cookie choices you have made.
  • Contact Form 7 — needed to submit quote, contact and checklist forms.

Analytics

We use Google Tag Manager (container GTM-TZH84V5R) to load measurement and marketing tags. Tags fired through it may set Google Analytics or similar cookies (often named _ga, _gid or _gat) so we can see which pages are used and how people find us. These cookies typically last from a few minutes up to about two years.

Marketing and advertising

We use the Meta Pixel (Facebook Pixel ID 115862036472254) through PixelYourSite. This can set cookies such as _fbp and fr, and may use advanced matching (for example hashing your email or other details you submit) and a server-side Conversions API so Meta can measure ads, build audiences and show relevant adverts on Facebook and Instagram.

These tools may also record events such as page views, form submissions and file downloads.

Embedded videos and social feeds

  • YouTube (Google) — videos on the homepage and in galleries. Playing a video can set YouTube cookies (including PREF, VISITOR_INFO1_LIVE and YSC).
  • Instagram and Facebook (Meta) — social feeds on the homepage and contact page. These can set Meta cookies when the feed loads or when you interact with it.

Who we share information with

We do not sell your personal information. We share it only where needed to run the business:

  • Our team, so they can reply to you and deliver a hire.
  • Website hosting and security providers (this site is hosted in the UK and protected with Wordfence).
  • Email and form tools (WordPress and Contact Form 7). Submissions are also stored in our website database so we have a copy of your enquiry.
  • Our quoting service, which receives quote-form details so we can estimate travel and prepare an indicative price. That service is hosted by a cloud provider.
  • IT and website support providers who help us maintain the site, under confidentiality arrangements.
  • Google (Tag Manager, Analytics where used, and YouTube).
  • Meta Platforms (Facebook and Instagram pixel, feeds and advertising).
  • Professional advisers such as accountants or insurers, and authorities if the law requires it.

International transfers

Some providers (including Google, Meta and cloud services used for quoting) may process information outside the UK, including in the United States.

Where that happens, we rely on a UK-approved transfer mechanism, such as the UK Extension to the EU–US Data Privacy Framework (where the provider is certified) or the International Data Transfer Agreement / standard contractual clauses, together with the safeguards those companies describe in their privacy notices.

How long we keep information

  • Enquiries and quotes that do not become a booking: usually up to 24 months, unless you ask us to delete them sooner and we have no legal reason to keep them.
  • Bookings, invoices and contracts: for the hire and then typically up to 6 years after the event, to meet tax and legal record-keeping duties.
  • Checklist downloads: up to 24 months, unless you become a customer (in which case the booking period above applies).
  • Security and server logs: for a limited period needed to investigate incidents.
  • Cookies: for the lifetime of each cookie, or until you delete them or withdraw consent.

Your rights

You have the right to:

  • access a copy of the personal information we hold about you
  • have inaccurate information corrected
  • ask us to delete information in certain cases
  • ask us to restrict how we use it
  • object to processing based on legitimate interests
  • withdraw cookie or marketing consent at any time (this does not affect use before you withdrew it)
  • receive information you provided to us in a portable format, where the law allows
